

Committees
In 2020, FBC AA UK enlarged executive and establishment of five committees for the delivery of strategic aims and objectives as shown below:
- Constitution and Governance
- Finance and Bid-Writing
- Public Relations & Communications
- External Relations including a UK scope and Global Alumni
- External Relations Committee in Sierra Leone will include a focus of building relationships with the following FBC stakeholders: The Executive Administration; Lecturers and Tutors, The Student Body and Sierra Leone based alumni.
- Secretariat comprising an Executive Secretary, Admin Secretary and Organising Secretary.

Governance across the entire Association, which includes Chair, Vice Chair, Trustee members, Leads and members.

Monitor and create vigilant and transparent structures (where applicable) that will continue to guide the Executive committee, members, and supporters regarding the establishment of sustainable values, mechanisms and processes to enhance the association’s credibility and provide a solid platform for substantial growth and the harnessing of re

Ensure the delivery of the strategic aims and objectives of the association by advising and interpreting its constitution and any governmental, civic, or international legislation applicable to its modus operandi.

'Explain the Association role’ at timely intervals to the wider membership body.

Perusal and facilitation of ratification of key documentation before signing off and publication for example, contracts and Memorandum of Understanding (MOUs) with internal or external consultants/organisations.

Facilitate voting on roles and key issues.

Conduct procedures from the proposal of amendments to the constitution right through to the enactment of byelaws and their inclusion initially added as addendum for example, membership criteria, discipline, branding elements etc,

Bid- writer

Assist in the research for funding that FBCAAUK can bid for and write project.

Write project proposals for projects that will raise money to improve conditions for Fourah Bay College students in Freetown.

Oversee the preparation of all financial statements, invoices, ensure account receivables and payables. Remind members to pay yearly subscriptions.

Reconcile monthly and yearly transactions, processing invoices as required and ensure financial. transactions are properly updated and recorded.

Ensure all expenses are within assigned project budget.

Conduct periodic financial analysis to identify and resolve issues, gaps or variances.
Treasurer

Work closely with the Executive Committee and Chairperson on day to day decisions in between meetings, via phone and email.

Responsible for leading the Finance and Bid writing Committee.

Make sure financial systems are in place for correct reporting.

Responsible for keeping and accounting FBCAAUK, cheque book and debit card.

Depositing and withdrawing monies as and when necessary.

Produce quarterly updates on the organisation’s finances and report to charity members via WhatsApp group and yearly report at the AGM.

Produce a Treasurer’s report for the annual report.

Prepare the annual accounts at the end of each financial year

Accountable for developing, managing and updating the Association Communications which includes:

- Social media (Facebook, Twitter, Instagram & YouTube - where applicable)

- Website – branding, launching and maintenance

- Electronic discussion groups (such as WhatsApp)

Accountable for the production and circulation of Publications (general leaflets/flyers /posters for events).

Internal Communications – responsible for ensuring the Association is continually informed and updated, recommending new ways to communicate with its members.

Executive Secretary:

Arrange prescheduled meetings at regular intervals with the executive, trustees, and internal committees to review the association’s internal processes.

Work closely with the Executive Committee and Chairman on decisions in between meetings via phone or email.

Maintain a copy of the current constitution and strategic plan and have it available for quick reference at all meetings.

Storage of relevant documentation and collateral for legislative, security and structural purposes.
Admin Secretary:

Type up and distribute minutes of meetings, including the AGM. The minutes must only be distributed to members who have paid up their yearly subscription.

Carry out all necessary admin including photocopying, printing, distributing programmes, fliers etc.

Storage of relevant documentation and collateral for legislative, security and structural purposes.
Organising Secretary:

Find suitable venues when an FBCAAUK event has been organised.

Organise food and refreshments for events while liaising with the Chairman, Vice-Chair and the Treasurer.

Send out invitations to all event attendees.

Organise photography and videography for events.
